About the handling of personal information at Aoba Administrative Law Office.

Basic Policy

Aoba Administrative Law Office (hereinafter the “Office”) recognizes the importance of the personal information entrusted to us in the course of our work, and it is our basic policy to earn our clients’ trust by handling that information appropriately.

As a profession bound by a duty of confidentiality under the Certified Administrative Procedures Legal Specialist Act (Gyoseishoshi Act), the Office complies with the Act on the Protection of Personal Information and other relevant laws and regulations, as well as the guidelines of the Japan Federation of Certified Administrative Procedures Legal Specialists Associations.

Personal Information We Collect

The Office collects the following personal information directly from you.

  • Name and its phonetic reading (furigana)
  • Company or trade name, and job title
  • Address, telephone number and email address
  • Date of birth and nationality (only where required for the work)
  • Documents and information necessary to carry out the work (articles of incorporation, certificates of registered matters, financial statements, licenses and permits, family registers, etc.)
  • The information you enter in our inquiry form
  • Your responses to the Construction Business License Self-Check (available in Japanese only), covering the scale of construction work, business structure, management experience, technical staff requirements, financial standing and social insurance enrollment status, as well as the contact information you provide to receive the results (name, email address, and optional phone number and company name)

Purpose of Use

The Office uses the personal information it collects for the following purposes.

  • Carrying out the work you have requested (various applications, document preparation, dealings with government offices, etc.)
  • Contacting you and providing information
  • Preparing and sending quotations, invoices and receipts
  • Submitting documents to, and sharing information with, government offices and cooperating professionals as necessary to carry out the work
  • Responding to your inquiries
  • Providing the results of the Construction Business License Self-Check (available in Japanese only) and responding to related consultations
  • Retaining records as required by law

Provision to Third Parties

Except in the following cases, the Office does not provide your personal information to third parties.

  • Where you have consented
  • Where documents are submitted to government offices in order to carry out the work
  • Where information is shared, with your consent, with cooperating professionals (tax accountants, labor and social security attorneys, judicial scriveners, attorneys at law, SME management consultants, etc.)
  • Where required by law
  • Where it is necessary to protect a person’s life, body or property and it is difficult to obtain the individual’s consent

In addition, the Office outsources the sending of information submitted through the inquiry form and the Construction Business License Self-Check (available in Japanese only) to an external email delivery service (Resend). This service handles the information only to the extent necessary to send the email.

Requests for Disclosure, Correction or Deletion

You may request the disclosure, correction, deletion, or suspension of use of your own personal information held by the Office.

To make a request, please contact the inquiry desk at the bottom of this page. After verifying your identity, we will respond promptly to the extent reasonable.

* For information that we are required by law to retain in the course of our work, deletion may not be possible during the retention period.

Security Measures

To prevent the leakage, loss or damage of personal information, the Office takes measures such as the following.

  • Locked storage of documents and data, and access restrictions
  • Password protection and encryption of work devices
  • Appropriate encryption when sending and receiving email and data
  • Thorough confidentiality training for the principal and staff
  • Appropriate disposal of personal information that is no longer needed

Use of Analytics Tools and Cookies

This website uses the following analytics tools for the purpose of improving the site.

  • Google Analytics 4 (GA4): Provided by Google LLC. Uses cookies to collect information such as browsing history, device used and region in anonymized form.
  • Vercel Analytics: Provided by Vercel Inc. Collects page-view statistics without using cookies.

These tools do not collect information that identifies individuals. If you do not wish to allow cookies, you can disable them in your browser settings.

Changes to This Policy

The Office may revise this Privacy Policy in response to changes in laws and regulations or in the nature of our work.

When we make a change, we will post it on this website with the revision date clearly stated. For significant changes, we may notify clients individually.
